Onsite Project Administrative Assistant | Madison, WI

JP Cullen, a Wisconsin-based $400 million plus, 128-year-old, 5th generation family-owned construction management firm, is seeking a Project Assistant to support our project team at a healthcare facility in Madison, WI.  This position will be located on an active construction site.

The Project Assistant reports directly to the Project Manager and supports the entire project team of crew, foremen, engineers, superintendents, and project manager as well as interact with sub-contractors, architects and engineers, and the clients project team.  The ideal candidate is professional and diplomatic in dealing with internal and external contacts and maintains a positive work atmosphere.

 Major Responsibilities:

  • Support the construction project manager and superintendent on a variety of activities
  • Distribute varieties of documents (letters, reports, memos, meeting minutes etc.). May entail producing confidential documents
  • Ensure routine work items (daily, weekly, monthly, data reports, and similar items) are received. Follow-up and expedite late items
  • Assist in the accounting, invoicing, and cost tracking report generation and updates
  • Maintain a clean office environment and buy supplies as needed
  • Update blueprints & contract documents when new documents are produced by the design team.
  • Receive, send & distribute submittals, shop drawings & samples to & from subcontractors, suppliers & designers
  • Maintain electronic & physical files & record documents

 Position Background Requirements

  • High School Diploma is required and at least one year of office experience is required
  • Proficiency in Microsoft Office programs

Healthcare Division Manager | Madison, WI

JP Cullen, a Wisconsin-based $400 million plus, 128-year-old, 5th generation family-owned construction management firm, is seeking a Division Manager of the Healthcare Division in Madison, WI.  The Division Manager is responsible for the oversight and management of all healthcare projects and team members; including work procurement, strategic planning, contract negotiations, risk management, continuous process improvement, client satisfaction, and to lead, grow, and develop team members.

Over the last 6 years, JP Cullen’s Healthcare Division has grown its presence significantly in the Southwest part of Wisconsin serving all the major healthcare providers.  Healthcare projects are executed within complex environments requiring creative plans and disciplined execution, perfect for anyone who enjoys challenges and making a difference for others.

The Division Manager reports directly to the Co-President and is a member of the executive management and strategic planning team.   Success is determined by measuring safety, people development, revenue and profit generation in relation to overhead, quality, and client service.

Major Responsibilities:

  • Execute individual profit and loss business unit within JP Cullen
  • Responsible for the full financials for the Healthcare Division including meeting goals, margins, and profit

  • Create new market strategies to attract new clients as well as serve existing clients

Position Background Requirements:

  • Four-year college degree related to construction, engineering, and/or business, or completion of an apprenticeship and a combination of at least eight years of experience in a construction-related position where knowledge was gained in the areas of construction, design, finance, and management
  • Must possess an understanding of the Healthcare markets and future trends; and hold high visibility and credibility in the marketplace
  • Experience in hiring, building, and leading a team
  • Must possess superior communication and interpersonal (facilitation, diplomacy, influence, etc.) skills
  • Ability to formulate budgets and strong knowledge of accounting principles

Project Engineer | Starting June 2021

Works with the crews. Tasks could include layout, lift drawings, getting materials for the crew, updating plans, etc. Assists and leads the project crews in all aspects of Process Improvement, which includes the Seven Elements.

Major responsibilities include:

  • Ensure that the intent of JP Cullen policies, procedures and quality standards is followed in accordance with our Quality Management System.

  • As needed, participate in presentations.
  • Analyze the information for accuracy before updating the schedule, update, and distribute it. With the target/updated schedule, monitor JP Cullen and subcontractor performance to ensure there is alignment with their Any conflicts need to be addressed to the Superintendent.
  • Perform analysis of construction methods (crane reaches, form work design, erosion control, and grading modifications).
  • Produce miscellaneous sketches and drawings as required to show field conditions to the architect, clarify plan details for craft persons (e.g. lift drawing), proposing alternate details.
  • Organize and schedule pre-installation meetings for any subcontractor with on-site labor. Prepare meeting agendas and ensure attendance by all parties. Conduct pre-install meetings.
  • Verify quality and compliance of installation with specifications and drawings for all work (subcontracted or by JP Cullen).
  • Participate and prepare minutes for weekly Coordination and Foreman Meetings.
  • Organize and ensure timely submission of shop Review for compliance with project specifications and drawings and ensure ease of installation.
  • Field verifies dimensions as requested by the Superintendent for his approval.
  • Prepare and monitor written delivery schedule log. Inspect shipments of all deliveries as directed by the Superintendent.
  • Visit suppliers as directed by the Superintendent (at least one month ahead of delivery).
  • Perform inspections of stored material to approve payments to subcontractors.
  • Expedite replacement materials for shortages, misfabrications, and design errors.
  • Produce, track, and expedite signatures and forward to the Project Manager, “extra work orders,” for back charges for subcontractors and for change order work authorized by architect or owner.
  • Keep “as-built” drawings up to date to incorporate field changes to the plans.
  • Project closeout – expedite punchlist, track and verify that items on the punchlist are being completed.
  • Process and expedite answers to RFI’s generated from the field. Once answered, take to closure by distributing information and following through to ensure correct incorporation of answers.
  • Participate in presentations as needed.
  • Participate in weekly coordination meetings, superintendent meetings, daily crew huddles and foreman meetings.
  • Participate in and contribute to Operation Planning Process.
  • Capable of providing Process Improvement assistance to crews.
  • Perform additional duties as directed by supervisor.


  • Four-year engineering degree related to construction or equivalent technical training and related experience, or a minimum of four years of construction site experience.
  • Excellent communication and interpersonal skills.

Process Improvement Engineer | Milwaukee, WI

Major Responsibilities:

• Study field operations – Analyze operations using with the use of Film, P&R charts, Stop watch. Break down data to identify production rates, cycle times, inefficiencies and potential improvements. Share information with the foreman and crew to implement improvements. Use information in AAR’s record and measure against historical data.
• Assist in ensuring changes are implemented
• Implement and support – PI strategic initiatives along with Company initiatives
• Coach, Teach and Train Superintendents and Foremen with Operation Planning, DEOS, Daily & Weekly work plan and AAR’s
• Assist with OPS Planning, AAR’s, Story Boarding/Block scheduling and Plan Presentations
• Maintain and update Red Bead Crusher, Planning Guides, Historical data, PI Dashboard and training information
• Review weekly cost reports to identify high risk/reward activities and focus on those activities (Main focus on structural concrete and High risk reward operations)
• Develop relationships with Superintendents, Foremen and Crews
• Assist Project teams as an additional resource for planning and execution of work
• Responsible for development and distribution of Success memos and Idea of the month
• Write and submit field reports after site visits. Discuss your observations with the Superintendent and foremen before leaving site. Copy RFC and PI Manager
• Assist in training – Process Improvement classes, P&R Charting, Storyboard/Block Scheduling
• Submit weekly report to Process Improvement Manager
